Restaurant billing software cost in India: compare the full quote.

A monthly price is only useful when you know what it includes. Here is how to compare a subscription with a per-bill POS using your own opening days, bill count and equipment.

Short answer

Ask for the total cost of running your outlet for a year, with the features you need, rather than comparing headline fees. For a per-bill product, multiply paid bills × fee per bill. For a fixed plan, add the subscription, required add-ons, support and renewal charges. Then list setup and hardware separately. Venditas is 30 days free, then ₹3 per paid bill, with no monthly cap.

Start with three numbers from your restaurant

Write down your paid bills in the last complete month, the number of days you opened, and the number of outlets covered by the quote. If you have a report with the actual paid-bill count, use that instead of estimating from sales. A restaurant collecting ₹40,000 from 40 large bills has a different per-bill cost from one collecting the same amount from 200 small bills.

For a new outlet, prepare a quiet-month and a busy-month estimate. Treat both as assumptions, not promised sales. Also ask what counts as a bill: a saved order, a paid bill, a cancelled order and a second KOT are different things. Splitting one payment across cash and UPI is different from creating two separate bills.

Monthly, yearly and per-bill pricing

ModelCalculation to requestQuestion before signing
Fixed monthly subscriptionMonthly fee × 12, plus required extrasDoes this include every device, outlet and feature I will use?
Yearly subscriptionAnnual invoice plus required extrasWhat is the renewal price, and what happens if I stop early?
Per paid billPaid bills in the period × fee per billWhat counts, is there a minimum or cap, and when is the bill raised?
One-time software purchasePurchase plus support, upgrades and required servicesWhich functions continue if I do not renew support?

These are ways to compare quotes, not claims that every vendor uses them. A fixed fee can be cheaper for a steady, busy outlet. A per-bill model lets the software charge follow bill volume, but it can become expensive as volume rises. Neither model wins without the rest of the quote.

What ₹3 per paid bill costs at different volumes

The following table uses Venditas's current per-bill price. It assumes the same bill count every day, a 30-day paid month and a 365-day paid year. It excludes the initial trial, applicable taxes, setup and hardware. It is not a forecast or a competitor price comparison.

Paid bills per day30-day software fee365-day software fee
10₹900₹10,950
25₹2,250₹27,375
50₹4,500₹54,750
100₹9,000₹1,09,500

Worked example: an outlet opens 26 days and settles 40 paid bills each day. That is 40 × 26 = 1,040 paid bills. At ₹3 each, its software charge for that paid month is ₹3,120, before applicable taxes. Using 30 days would overstate this example's month by ₹480. Use actual open days or, better, the actual report.

Find the break-even with a fixed quote

Divide the comparable fixed fee by the per-bill fee. Suppose you have a hypothetical ₹2,000 monthly software quote that includes the same things you need. ₹2,000 ÷ ₹3 = 666.67, so the per-bill charge passes that fixed software fee at 667 paid bills in a month.

At 30 open days that is about 22.2 paid bills a day; at 26 open days it is about 25.6. These are comparison thresholds for an invented quote, not a claim about a named vendor. If the fixed quote excludes a required captain app or kitchen screen, add those costs before comparing. If it includes hardware that you need to buy separately, account for that too.

Compare renewal years as well as the first invoice. A first-year discount may change the answer for twelve months without changing the cost after renewal.

Copy this list into a message to each vendor, or print the page and fill it in. Keep software, equipment and payment-provider charges separate so a low number in one row cannot hide another cost.

Cost to recordWhat the written quote should say
SoftwareBilling period, outlets, devices and the usage count on which the charge is based
Required featuresTables, KOTs, kitchen display, captain app, stock, reports and exports you actually need
Setup and trainingMenu entry/import, tables, staff, printer configuration and who trains each shift

Support and renewalSupport coverage, renewal amount, upgrades, cancellation and access to exports
Taxes and payment servicesWhether the software quote includes applicable taxes; any separate bank/payment-provider charges

“Runs on your own device” does not mean every restaurant can spend nothing on equipment. A working computer, reliable connection and compatible printer still have to exist. Our restaurant billing machine guide separates the screen, software and printer; the printer guide explains the checks before buying.

Compare the trial year separately

Venditas's first 30 days are free. In an illustrative 365-day first year, if an outlet opens and settles 25 paid bills on every day, 335 days are chargeable: 25 × 335 × ₹3 = ₹25,125. A later 365-day paid year at the same volume is ₹27,375. Closing days, a different start date and changing bill counts alter the result.

Self setup is free. Assisted setup is free for the first 100 restaurants; the stated one-time fee after that offer is ₹2,999. The founding offer fixes the ₹3 per-bill fee for two years. Check your eligibility with the founders and keep the applicable offer in writing. Hardware and any separate optional phone-agent service are outside the POS bill-count calculation.

Where Venditas fits in this comparison

Venditas pricing includes the POS features at one per-paid-bill fee. Cancelled orders and ₹0 bills are not charged under the stated pricing. There is no monthly price cap. If you have a high and steady bill count, compare the total with a complete fixed-fee quote before choosing.

Check operational fit too: staff screens are in English, Hindi and Marathi; orders from Swiggy and Zomato need manual entry; reliable internet is needed for live work across devices. We do not claim a verified offline-billing experience here. A low software fee will not help if the system does not fit your service.

Compare a quote using your own bill count

Bring last month's paid bills, open days and your printer model. See the actual sample-data screens, then ask the founders to work through your setup and cost. For a vendor walkthrough, use the selection checklist.

Questions

Quick answers

How much does restaurant billing software cost per month?

It depends on the product, included features and billing model. Compare a complete written quote at your outlet count and bill volume. Venditas charges ₹3 per paid bill after 30 days free: 25 paid bills a day for 30 days is ₹2,250, before applicable taxes and separate hardware costs.

Is per-bill restaurant software cheaper than a subscription?

Not always. Divide a comparable fixed monthly quote by the per-bill fee to find the break-even bill count. A hypothetical ₹2,000 monthly quote breaks even with ₹3 per bill at about 667 paid bills a month. Compare setup, included features, renewals and hardware too.

Does a KOT count as another paid bill in Venditas?

A kitchen order ticket is an instruction to prepare food, not a paid bill. Several sends to the kitchen can belong to one restaurant bill. Venditas pricing is based on paid bills, not the number of KOTs. Splitting a payment and creating separate bills are different actions.

Does Venditas have a monthly price cap?

No. At 50 paid bills a day for 30 days the software fee is ₹4,500 before applicable taxes. At 100 a day it is ₹9,000. Use your actual paid-bill count before choosing.

Does a free trial make the first year free?

No. Venditas's first 30 days are free; paid bills after that cost ₹3 each. Compare the trial year separately from a later full paid year and include any setup or hardware costs that apply.
